Submission of Documentation for the ARCP process

The assessment (RITA and ARCP) process will be guided by the supporting documentation that you submit to the Deanery. It is therefore of upmost importance that you comply completely with the following instructions. Failure to do so may impair or threaten you training. You must be aware of the regulations to your training on a National and Regional basis.
Gather all your evidence and complete the relevant sections of the proforma below (except 1 and 3) before arranging your pre-assessment meeting with your educational supervisor. The evidence for the last 12 months of training must presented in a folder of annual evidence according to the order laid out in the proforma. This folder of annual evidence is to be separate to your main training Portfolio which will contain your previous documentation. Please keep all original forms in your main portfolio and submit only photocopies in the folder of annual evidence. Remember, it is your responsibility to collect this evidence.
You must bring your whole portfolio to the summative assessment with the TPD.

When you meet with your educational supervisor, he/she will complete questions 3 and the other relevant parts of 1 – the Educational Supervisor’s (ES) report with you. Show your ES your answers and evidence for the other questions so any issues can be identified before the folder of annual evidence is forwarded to the Training Programme Director (TPD) (this must be completed at least 2 weeks prior to your summative assessment with the TPD.

When you meet with your educational supervisor, he/she will complete questions 3 and the other relevant parts of 1 – the Educational Supervisor’s report with you. Show your ES your answers and evidence for the other questions so any issues can be identified before the folder of annual evidence is forwarded to the Training Programme Director (this must be completed at least 2 weeks prior to your summative assessment with the TPD (known as the Interim Review - IR).
Trainees using e-portfolio are required to produce paper copies of the work place based assessment to satisfy the minum requirements laid out for their year of training in the RCOG Training Matrix for eg 3 CBDs in gynaecology only to be printed out.
